The “Today” file

Mini-series on email management: Pt 3

Most inboxes don't prevent you from working because of their volume.

They prevent you from working because they hide what you need to do next.

Here's the fastest way to turn your inbox into a daily to-do list, without transferring everything to another app.

Step 1: Create a folder or label called "Today."

All emails that require action today go here. That's it.

Step 2: Use flags, stars, or color codes.

Only flag emails that truly require immediate action on your part.

Please disregard the informational emails for now.

Step 3: Daily sorting

Start your day by opening only this folder.

Everything else remains in the inbox, unread, unprocessed, but off your mental radar.

Step 4: Keep it concise

Your "Today" folder should never contain more than 10 to 15 emails.

If it exceeds this number, divide the tasks into smaller steps or postpone some tasks until the next day.

Step 5: Reset at the end of the day

Leave all unprocessed emails in the "Today" folder for tomorrow.

Your inbox stays clean and your to-do list always focuses on what really matters at that moment.

• Your brain only sees what matters today.

• You stop switching between folders and applications.

• The inbox becomes a tool, not a trap.
